Project Coordinator

Full-time position located in Florida (anywhere in the state). This position is remote.

 

Background

D2D is a growing start-up organization that provides small school systems with actionable support to improve instruction so students can reach their full potential. D2D is expanding its services in Florida to work with a larger number of school districts throughout the state. As we grow, we seek a Project Coordinator to support this work happening on the ground. The Project Coordinator will be tasked with supporting the Florida team through planning and executing logistics related to meetings and trainings across the state and maintaining financial tracking systems. The Project Coordinator will play a critical role in supporting the Florida team’s coordination and execution on a day-to-day basis. He/she will also coordinate the Middle School Coaching Pilot work with UnboundEd, D2D’s partner organization in this project. From creating and coordinating project plans to communicating with partners and participants, he/she will ensure the Pilot runs smoothly.

 

Responsibilities

  • Work with the Director(s) of Instructional Support (DIS) in Florida to execute district support
  • Serve as the project coordinator across organizations and work streams, and execute project plans
  • Execute logistics and provide team support, including:
    • Coordinate event logistics, such as meeting space, printing, and food
    • Prepare logistical playbooks containing site-specific and general training information for meetings
    • Provide on-site event coordination for complex events
    • Secure travel and lodging for traveling contractors
    • Coordinate with relevant parties to design surveys for participating coaches, and support internal learning through curation of meeting survey data
    • Communicate with participating districts, coaches, principals, and stakeholders
  • Maintain financial tracking systems, including:
    • Ensure timely payment of Florida contractors
    • Create and send contracts to part-time staff, collect timesheets, and send invoices
    • Log and reimburse D2D staff expenses

 

Qualifications

  • Experience with event planning and logistics
  • Experience managing complex projects and multiple work streams
  • Excellent organization and attention to detail
  • Self-starter with strong reasoning and communication skills and comfort with ambiguity
  • Strong desire to provide high-quality customer service
  • Desire and ability to work in a fast-paced, collaborative environment
  • Some education experience

Location

This position is based in Florida (anywhere in the state). It will require semi-regular overnight travel throughout Florida for event coordination. It may also require occasional travel to Nashville, Tennessee, for training and organization-wide meetings.
